The Data We Collect About You

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

Some of this personal data or information is necessary in order for you to enter into our Terms of Use. For example, a way to identify you. The provision of all other information is voluntary, but it may be required to use our services. For example, we need contact information so you can post a trade.

We may collect, use, store and transfer different kinds of personal data about you.  We have grouped this data together below.

When you register for an account we collect:

  • Identity Data this includes first name, maiden name, last name, title, date of birth and gender.
  • Contact Data includes delivery address, email address and telephone numbers.
  • Profile Data includes your username and password, any trades you have completed or listed with Ideal Trade, your interests, lifestyle details, preferences and feedback and survey responses.
  • You may provide information through a web form, by creating a listing, updating your account, chats, dispute resolution or when you otherwise communicate with us.

When you complete a trade and use our website we collect:

  • Transaction Data includes any information you provide when posting a trade, responding to a trade or other transaction based content that you generate or that is connected to your account as a result of a transaction you are involved in.
  • Technical Data includes internet protocol (IP) address, your login data, browser history and location.
  • Usage Data includes information about how you use our website and services.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity.

For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

  • Customer profiling and analysing your trading preferences – Looking at trades you are listing, have completed or cancelled, feedback on your completed trades from other users and your likes and interests.
  • Marketing – trades that you have completed, trades and listings that you are seeking or may have an interest in and your search history.
  • Fraud prevention and detection.                                    
  • To notify you of any changes to this website or to our services which may affect you.
  • Improving our services – handling complaints, queries and suggestions.

Our lawful bases for using your personal data are:

  • To fulfil our agreement with you in the User Agreement and provide you with our services.
  • Necessary for our legitimate interests (to improve our services, study the goods, services and tuition user’s trade and grow our business and give you access to the messaging service).
  • Necessary to comply with legal obligations. We may need to disclose to law enforcement agencies in connection with any investigation to help prevent unlawful activity.

Marketing

Where you have given your express opt-in consent, we may contact you by telephone, SMS, text or email about products or promotions which may be of interest to you.

Disclosure of Your Personal Data

We may disclose your personal data to Ideal trade employees. We may be required to do this to provide you access to our services, to comply with our legal obligations, to enforce our Terms of Use and to prevent, detect, mitigate and investigate fraudulent or illegal activities related to our services.

Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data Retention

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

By law we have to keep basic information about our users (including Contact, Identity and Transaction Data) for six years after they cease being customers for tax purposes.

In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

Data Storage

We will store your data as a hard copy or a soft copy for as long as is necessary to fulfil the purpose for which it was collected. Personal data can be stored for longer periods if the personal data will be processed solely for archiving purposes in the public interest.

You can also object if the processing is for a task carried out in the public interest, the exercise of official authority vested in you or your legitimate interests. In these circumstances the right to object is not absolute.
  • Request restriction of processing your personal data – you have the right to restrict when you contests the accuracy of your personal data and you are verifying the accuracy of them or when the data has been unlawful processed.

If you wish to exercise any of the rights set out above, please contact us. We try to respond to all legitimate requests within one month, though it may take longer if your request is particularly complex or you have made a number of requests.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

Your Responsibilities Over Information You Receive from Ideal Trade

When you correspond with another user and receive personal information off the other user (such as their name, email address, contact details and address) you are, independent from us, the controller of such data and you must comply with the applicable privacy laws.

You may use the personal information that you have access to only for Ideal Trade transactions – related purposes, or for other services listed through Ideal Trade (such as fraud complaints and member-to-member communications) and for purposes expressly consented to by the user to whom the information relates. Using personal information of other users that you have access to for any other purpose is a breach of our Terms of Use.

Unwanted or Threatening Communication

We do not tolerate abuse of our services. You do not have permission to add other users to your mailing list (email or postal), call, or send them text messages without their explicit consent. Sending unwanted or threatening emails and text messages is against our Term of Use.
